In this tutorial, we are giving you a deep dive into the review system. A couple of things. If you have not done this, please do go to your settings area, make sure that you have configured your automated reviews setting. So of course we do have a separate video for this, making sure that your reviews either have the e-signature requirements enabled or if you do have the automated reviews that you do have those activated with the proper configuration. Second thing is go over to your form templates area. Pretty important part of the system, the form templates is how you create the questionnaires, the types of questions that you want to utilize in various parts of the system, including reviews. So simply go in there, you can add a form, not a problem. You can use AI to generate forms. You can ly check out the library for forms that we’ve already created, templates that we’ve already created, and simply click on the three dots here to pull them into your workspace. (01:08): Alright? So super easy to do that. Make sure you check out the videos for the form templates. Very, very important. So let’s go back to our review section. So I am in the review section here. I am in there as an admin. Depending on your role in the system, you are going to have different viewpoints in this tool. So a couple of things I just want to point out right there. I am in the all review section, but I can also toggle over to the received reviews and of course I’ll be able to see reviews that I have collected at the end of that review period. Second thing is notice right here, we do have a time or range selector. It is currently given me a week by week. I can certainly change that to monthly. I can select quarterly and I can go all the way to, for example, all data that we have in the system. (02:01): So feel free to explore that. And then of course you do have an option to utilize filters to search for particular reviews, search for particular categories, particular orientations and teams and what have you. So you do have multiple options there to do that as well as of course the option to use the sort by for your data. Alright, so of course I do see reviews here and I can give you a quick preview, but let’s just say we are going to go ahead and create a review. How do we do that? Very, very easy. Just click where it says add new review. You would need the name of the review. So I’m just going to put something here. Certainly a description is useful. Select the category that you want for your review, and then of course decide if this is a one time or it’s going to be an ongoing review. (02:52): So you do have an option to do that. Depending on which configuration you select, you’ll get additional points to customize. We go over to the start and end, and this is again for you to customize based on what your needs are. Suddenly feel free to utilize your reminder tool. Why not? It is there for you to make your life easier. So feel free to use that. This is a very important part. What type of review are we doing? Okay, is this an org wide review? Is this an all organization wide review? If that’s the case, go ahead and select that. If it is a team-based review. So whether you are a manager, maybe you are HR creating a review for a manager, suddenly feel free to select the option. Or are you just targeting an individual that you want to do a review for? Suddenly feel free to select that option. (03:39): Okay, so for this, I’ll go ahead and select team and a team-based review. I’ll go ahead and select mid Congress, I’m not sure what the name’s about. And then right over here is the review type. Now EAP is so in depth. This’s going to give you options here. You can select the 360 review. And by the way, noted that whatever review is selected here, there is a description for it review. So if you don’t know what it is, just look down here, you will see the description. So 360 review, team leader review, team member review, and of course reviewing both team members and team leaders. So feel free to select the options. And by the way, depending on which option you select, you’ll be able to configure the templates precisely for that option. So in this case, for example, I want to review team leaders. (04:27): So I want the members of the team to review the manager. That’s basically what that means. And so of course I come over here and select the hierarchy. In this case, it’s actually predetermined for me because there’s a team-based review. And then write over here, review owners. This is super important. If let’s say I’m creating the review, of course I’m here, but I really do want to hand it over to another person to manage. So let’s say I want to create this review and have Julie manage this. I simply go and select the owner, toggle it over to them. Of course, right over here we have the e-signature requirement. We have validated clients in highly regulated industries. And of course for them, e-signatures are super important for submissions of various activities. So if you do need an e-signature enabled, simply just toggle that on. You come over to the review answers option. (05:13): This is super, super important. Decide how you want data to be shared at the end of the review. Do you want people to get data for the reviews? Do you want to withhold that information and only shared anonymously? You get to configure all of that. Alright, we go to the next section. And remember what I said about the templates. Depending on what configuration you have here, you are going to see different templates. For example, I’m going to select the 360 review now or change it to a 360 review. And what happens when I go over here? Now suddenly you see that I have the option to select peer upward and downward, right? If I had gone in and selected a different configuration, I’ll be chosen. I’ll be selecting different templates here. So right over here you go in to create your, if let’s say no template exists for you that you think is useful for what you want to do or you just want to create a new one, just click right here where it says create form. (06:08): Alright? And you’ll be able to do that. If you want to add a self-assessment, feel free to configure that right over there. For the purpose of this, I’m just going to go ahead and select these templates so we can wrap this video up. And this is a downward review. So again, I am simply selecting all these options. And of course, remember self-assessment because I toggle that on. I am being given the opportunity to select this template right there. Click create and that is it. Alright, so let’s go ahead and take a look at an existing review that has some data. So I’m going to go right over here and I’m going to search for a review. I believe it has innovation in the name. So let’s filter this. We’re probably, I’m going to get data because I think it’s a few months back. So what I’ll do is I’ll select all here and let’s filter and let’s see what happens there. (06:59): Perfect. This is the review I need and I’m going to click on the overview. Now check this out. See right over here on the left, this is your relationship section. So it is a team-based review. By the way. Click on review details and it’ll tell you everything you need to know. Alright, so it’s a team-based review. For the silverbacks team, it’s a 360 review and it’s based on team hierarchy. So I’ve got multiple sections here. I’ve got self-assessment areas, so I can click and see what individuals have set about their own performance and reviews. And right over here I can actually add in file. So if let’s say there’s an additional HR file that I want to add to this review, I can do that. Then of course, scroll down and you get the upward review section. So this is where essentially direct reports are reviewing their higher ups. (07:46): So let’s see what they’re saying about Anna. Alright, so for supporting guidance, click on it, you open it up and this is great information. This is information that you can actually drill down. You can check out the metrics to see how this individual is performing in comparison to others in the organization. So this is again, giving you details. You can export this information out. I don’t want to make this video too long, but just know that it is very, very granular. Alright. Now, as you can see here, because I have so many different roles, of course I can click to perform a review and I simply would in this point just select whoever I’m reviewing and I can load up things like the analytical summary, which will tell me things like what goals they’ve been working on, weekly status events and all of that. And I simply will use that to guide me in performing my review. And of course, once I hit my submit, if there’s an e requirement, it will be asked of me.
